Archiving Policy
Digital Archiving and Long-Term Preservation
Jurnal Indo-Islamika, published by the Graduate School of UIN Syarif Hidayatullah Jakarta, Indonesia, recognizes the long-term preservation of scholarly publications as an essential responsibility of academic publishing.
The journal is committed to safeguarding the continuity, integrity, accessibility, and authenticity of its published scholarly record.
Through its Open Journal Systems (OJS) platform, Jurnal Indo-Islamika maintains an online archive of previously published volumes and issues. This archive provides an organized record of the journal's scholarly publications and supports the identification and retrieval of published research.
This policy establishes the journal's framework for managing digital scholarly records, protecting publication files, maintaining bibliographic information, and supporting recovery from technical disruptions.
1. Scope of Digital Archiving
The journal's archiving framework covers scholarly content formally accepted and published through its editorial and production processes.
The materials designated for preservation include:
-
Final published articles, including their official PDF files.
-
Published volumes and issues, including associated tables of contents.
-
Article metadata, including titles, author names, affiliations, abstracts, keywords, and publication dates.
-
Persistent identifiers, including Digital Object Identifiers (DOIs), where assigned.
-
Published supplementary materials and supporting files hosted by the journal.
-
Publication records necessary to establish the bibliographic identity and history of an article.
The principal object of preservation is the Version of Record (VoR), representing the definitive version of an article formally published by the journal.
Unpublished submissions, confidential peer-review correspondence, and restricted editorial records are subject to separate administrative and data-protection arrangements and are not automatically included in the public scholarly archive.
2. Digital Preservation and Backup Management
Jurnal Indo-Islamika recognizes that digital archiving requires measures beyond the availability of articles on a functioning website.
The journal's preservation framework therefore distinguishes between operational backups, which support recovery from system failures, and long-term digital preservation, which seeks to maintain access to scholarly content over time.
To support these objectives, the institutional publisher and authorized system administrators are responsible for establishing appropriate procedures for:
-
Creating and maintaining backup copies of the OJS database, published article files, and relevant system information.
-
Storing backup copies in protected locations separate from the primary operational environment, where technically feasible.
-
Restricting access to backup infrastructure to authorized personnel.
-
Monitoring the completeness and integrity of stored publication files.
-
Periodically evaluating whether archived data can be successfully restored.
-
Maintaining recovery procedures in the event of accidental deletion, file corruption, equipment failure, cybersecurity incidents, or other technical disruptions.
Backup schedules, retention periods, storage arrangements, and recovery testing should be documented in the journal's internal technical procedures.
A backup copy is not considered a substitute for an independent long-term preservation service.
3. Preservation of Metadata and Persistent Identifiers
The preservation of bibliographic metadata is essential to maintaining the academic identity, traceability, and discoverability of published research.
Jurnal Indo-Islamika assigns DOIs to its published articles, where applicable, and maintains publication information through its online journal management system.
Relevant metadata should remain consistent with the corresponding published article, including its author information, bibliographic citation, publication date, and DOI.
When metadata errors are identified, authorized editorial personnel should ensure that the necessary corrections are reflected in the journal's records and relevant registration systems.
The journal recognizes that persistent identifiers facilitate reliable citation and resource identification but do not independently guarantee the preservation of the associated full-text files.
Consequently, metadata management and the preservation of publication files are treated as complementary responsibilities.
4. File Integrity and Format Sustainability
Long-term digital preservation requires attention to the integrity and continuing usability of archived materials.
The journal's preservation practices should support the detection of damaged, incomplete, or inaccessible publication files.
Where technically appropriate, file validation, integrity checks, and secure storage controls should be used to reduce the risk of undetected corruption or unauthorized alteration.
The journal should also consider the long-term sustainability of the digital formats used for scholarly publication.
If technological changes make an existing format difficult to access, the institutional publisher may authorize an appropriate preservation-format migration.
Any such migration should seek to retain the scholarly content, bibliographic identity, and essential characteristics of the original publication.
Preservation-related technical modifications should not silently alter the intellectual content of the published Version of Record.
5. Independent Digital Preservation Services
Jurnal Indo-Islamika recognizes the importance of independent and distributed preservation arrangements in reducing dependence on a single hosting platform.
Potential preservation mechanisms available to scholarly journals include the PKP Preservation Network (PKP PN), LOCKSS (Lots of Copies Keep Stuff Safe), CLOCKSS (Controlled LOCKSS), and other recognized digital preservation services.
Participation in any such service is subject to technical eligibility, institutional arrangements, service conditions, and successful preservation deposits.
The journal will identify a specific preservation network as an active archiving mechanism only after its participation and the preservation status of the relevant content have been verified.
Where an independent preservation arrangement is implemented, the journal should disclose the service name and provide a reference through which readers or indexing organizations can verify its preservation coverage, where available.
This approach is intended to ensure that the journal's preservation declarations accurately reflect its operational arrangements.
6. Website Disruption and Journal Continuity
The journal recognizes that temporary technical disruption, changes in hosting infrastructure, platform migration, or institutional reorganization may affect online access to published materials.
In such circumstances, the responsible technical administrators should prioritize the recovery of publication files, journal metadata, and essential access functions.
Where a system migration becomes necessary, reasonable measures should be taken to maintain the consistency of article records, DOI links, and accessible publication files.
In the event that the journal ceases publication, the institutional publisher should seek an appropriate arrangement for retaining and transferring preserved scholarly content to a suitable institutional repository, digital archive, or preservation service.
Such arrangements should take account of the availability of preservation copies, technical compatibility, and applicable legal or institutional requirements.
The objective is to minimize the risk of permanent loss of the journal's scholarly record.
7. Institutional Responsibilities and Policy Review
The Graduate School of UIN Syarif Hidayatullah Jakarta, as the journal's institutional publisher, provides the organizational framework for digital publication and archival continuity.
The editorial team is responsible for ensuring that published article files and bibliographic information are complete and accurately represented in the journal's publication records.
Authorized technical administrators are responsible for the implementation, maintenance, and monitoring of applicable backup, security, and recovery procedures.
The journal's digital preservation arrangements should be reviewed periodically to account for technological developments, operational risks, and recognized practices in scholarly publishing.
Material changes to the journal's publicly declared preservation arrangements should be reflected in the relevant policy information.
8. Access to the Journal Archive
Previously published volumes, issues, and articles are available through the journal's official OJS archive.
