AI Policy

JURNAL HARKAT • PUBLICATION ETHICS & RESPONSIBLE TECHNOLOGY
Artificial Intelligence (AI) & Generative AI Policy

Responsible and transparent AI use in scholarly publishing, with human accountability, research integrity, and protection of sensitive information.

Policy Statement

Jurnal Harkat: Media Komunikasi Gender, published by the Pusat Studi Gender dan Anak (PSGA), LP2M UIN Syarif Hidayatullah Jakarta, is committed to responsible, transparent, and ethical use of artificial intelligence in scholarly research and publishing.

AI-assisted technologies may support research and manuscript preparation. However, their use must not compromise originality, independent intellectual contribution, methodological transparency, intellectual property, confidentiality, or the reliability of research findings.

This policy applies to authors, peer reviewers, editors, Editorial Board members, and other persons involved in the publication process. It is consistent with the journal's Publication Ethics and informed by relevant guidance from the Committee on Publication Ethics (COPE).

Fundamental Principle

Artificial intelligence may assist scholarly work but must not replace human intellectual contribution, independent analysis, critical interpretation, or academic responsibility. Human authors, reviewers, and editors remain accountable for the content and decisions within their respective roles.

Permitted Limited Supporting Uses
Required Transparent Disclosure
Prohibited Fabricated Evidence
Accountability Human Responsibility
1. Permitted Use of AI by Authors

Authors may use AI-assisted technologies for limited supporting activities that improve the presentation, readability, or technical preparation of manuscripts without replacing their own scholarly contributions.

Permitted uses include:

  • Language Editing: Correcting grammar, spelling, punctuation, and linguistic inconsistencies.
  • Clarity and Readability: Improving sentence structure without changing research meaning.
  • Outline Assistance: Supporting organization of ideas and manuscript sections developed by the authors.
  • Formatting Support: Assisting with manuscript formatting and technical consistency.
  • Translation Assistance: Supporting translation subject to independent verification of terminology, meaning, and context.

All AI-assisted material must be critically reviewed and verified by human authors. AI suggestions must not be accepted without checking accuracy, evidence, references, and their effect on scholarly meaning.

2. AI as a Research Method or Subject

Jurnal Harkat recognizes that AI may itself be a research subject or a documented methodological tool in studies relating to gender, children, media, education, and society.

Relevant research may examine algorithmic gender bias, discrimination in automated systems, gender representation in AI-generated media, AI-assisted learning, or the social consequences of emerging technologies.

Where AI forms part of the research method, authors must report:

  • The tool, model, or technology used.
  • The research purpose and justification.
  • Relevant input data, materials, and procedures.
  • How outputs were generated, selected, verified, and analyzed.
  • The extent of human oversight.
  • Methodological limitations, bias, privacy risks, and ethical safeguards.
Methodological Transparency: Documented AI-assisted analysis is distinct from replacing human scholarly reasoning. The methodology must remain sufficiently transparent for critical academic assessment.
3. Prohibited Use of AI

The journal prohibits AI practices that compromise the authenticity, originality, ethical conduct, or reliability of research.

Unacceptable practices include:

  • Presenting substantial AI-generated manuscript content as independent human intellectual work.
  • Using generative AI to replace authors' critical analysis, interpretation, discussion, or conclusions.
  • Fabricating interview responses, survey results, observations, research data, or documentary evidence.
  • Generating nonexistent references, quotations, legal documents, or research sources.
  • Manipulating figures, images, or statistics to misrepresent actual findings.
  • Using AI-generated content to conceal plagiarism or misrepresent originality.
  • Submitting relevant AI-assisted materials without required disclosure or meaningful human verification.
  • Uploading confidential or identifiable research information to external AI systems without appropriate authorization and safeguards.
Research Integrity: Fabricated interviews, invented participant statements, nonexistent references, and AI-generated material falsely represented as authentic research evidence are serious violations of publication ethics.
4. AI Disclosure and Transparency

Authors must accurately disclose the use of AI-assisted technologies in manuscript preparation. This includes relevant generative AI tools, chatbots, language models, grammar assistants, translation systems, and image-generation tools.

The declaration must identify:

  • The name of the tool or technology.
  • The specific purpose of use.
  • How and where it was employed.
  • The manner in which the authors verified the resulting content.

The declaration should appear in the submission cover letter and, where relevant, within the manuscript's Methods or Acknowledgments section.

Example of an AI Use Statement

"The authors used [AI tool name] for [specific purpose] in [relevant manuscript section(s)]. All AI-assisted material was independently reviewed and verified by the authors. The tool was not used to fabricate data, references, participant statements, or research findings. The authors retain full responsibility for the accuracy, originality, and integrity of the manuscript."

Example When AI Was Not Used

"The authors declare that no generative AI or AI-assisted technologies were used in preparing this manuscript."

Declarations must reflect actual use. The Editorial Team may seek further clarification where necessary.

5. AI, Authorship and Human Responsibility

AI systems, chatbots, large language models, and other automated technologies must not be listed as authors or co-authors of manuscripts submitted to Jurnal Harkat.

Authorship requires substantive human intellectual contribution, final manuscript approval, and accountability for accuracy and research integrity.

Human authors remain responsible for:

  • The originality and accuracy of manuscript content.
  • The authenticity of research data and participant statements.
  • Appropriate methodological design and interpretation.
  • Accurate citations, quotations, and references.
  • Compliance with confidentiality, informed consent, and research ethics.
  • Identifying and correcting AI-generated inaccuracies or bias.
Human Accountability: Use of AI does not reduce, transfer, or replace authors' responsibility for submitted or published research.
6. Sensitive Research Data and Ethical Protection

Jurnal Harkat publishes scholarship concerning gender, children, families, and sensitive social experiences. Authors must protect privacy, confidentiality, informed consent, and participant safety when using AI technologies.

The following materials must not be uploaded or disclosed to external AI systems without appropriate authorization and effective safeguards:

  • Identifiable interview transcripts and recordings.
  • Personal information about children and minors.
  • Confidential accounts of sexual harassment or gender-based violence.
  • Case records containing sensitive family information.
  • Restricted institutional or community documents.
  • Information potentially exposing participants to stigma, discrimination, retaliation, or other harm.

Removing participant names may not be sufficient to anonymize qualitative data. Combined demographic, geographic, institutional, or contextual details may still permit identification.

Ethical Safeguard: Participant rights and safety take priority over convenience in using AI. Sensitive-data processing must comply with consent conditions, institutional ethics, and applicable data-protection obligations.
7. AI-Generated Images, Figures and Evidence

Figures, tables, charts, photographs, diagrams, and other visuals must represent research sources and evidence accurately.

Generative AI must not be used to fabricate participant photographs, field documentation, survey findings, statistical results, or other material presented as authentic research evidence.

Where AI-generated content is itself the subject of research, such as a study of algorithmic gender bias, digital culture, or AI-generated gender representation, authors must disclose its artificial origin and describe how the material was generated, selected, and analyzed.

Authors must also respect copyright, consent, privacy, and other applicable ethical requirements.

8. Use of AI by Peer Reviewers

Reviewers must maintain confidentiality and provide independent scholarly judgments based on their own expertise.

Reviewers must not:

  • Upload unpublished manuscripts, excerpts, research data, or reviewer reports to external AI services without explicit editorial authorization and appropriate safeguards.
  • Allow AI-generated assessments to replace independent academic evaluation.
  • Disclose unpublished findings or confidential information to unauthorized persons.
  • Exploit confidential manuscript material for personal, institutional, academic, or commercial gain.

Reviewers remain fully responsible for the fairness, accuracy, confidentiality, and integrity of their reports.

9. Use of AI by Editors and Editorial Board Members

Editors and Editorial Board members must preserve manuscript confidentiality, editorial independence, and academic accountability.

Submitted manuscripts, unpublished research information, reviewer reports, and private editorial correspondence must not be shared with public AI systems in ways that compromise confidentiality or data protection.

AI systems must not independently determine manuscript acceptance, revision, or rejection. Editorial decisions remain the responsibility of the Editor-in-Chief or appropriately authorized human editors.

Where authorized AI-assisted technologies are used for limited administrative or technical purposes, such as metadata checking, formatting verification, or similarity screening, outputs must be evaluated by responsible editorial personnel.

10. Policy Violations and Editorial Action

Suspected violations may be assessed under Jurnal Harkat's Publication Ethics and research-integrity procedures.

Depending on the nature and seriousness of the concern, appropriate action may include:

  • Requesting clarification or a corrected AI-use statement.
  • Requiring revision or independent verification of affected materials.
  • Conducting additional originality or research-integrity assessment.
  • Suspending editorial processing while serious concerns are examined.
  • Rejecting manuscripts when serious violations are substantiated.
  • Consulting independent experts or relevant institutions.
  • Issuing a correction, Expression of Concern, or retraction after publication where justified.

Action must be proportional to the evidence and the effect of the violation on research reliability. Failure to disclose minor AI assistance does not automatically justify retraction.

Policy Review and Updates

Jurnal Harkat may periodically review this policy in response to developments in AI technologies, research-ethics standards, data protection, and responsible publishing practices. Any revisions should remain consistent with the journal's other editorial policies.

Commitment to Responsible AI Use

Jurnal Harkat supports responsible, transparent AI assistance while safeguarding independent scholarship, research integrity, confidentiality, and human accountability. Particular attention is given to participant safety and the prevention of bias, discrimination, and misleading representations in gender, child, family, and social research.
